Privacy Policy

Last updated 6 September 2026. Covers this website and any project we take on. Written to be read, not skimmed past.

The short version. We collect what you send us through the quote form and by email, plus basic anonymous analytics. We use it to reply to you and run projects. We never sell it. Ask us to delete your data and we will, at contact@hire-web-designer.com.

Who we are

This site is operated by [Registered legal entity name], trading as Hire Web Designer, registered at [Full registered address] — company number [number], if applicable].

For anything about your data, including requests to see or delete it, email contact@hire-web-designer.com. We aim to reply within five working days and are required to respond substantively within one month.

For UK and EU visitors, we are the data controller for the information described below.

What we collect

We collect three kinds of information, and no more than we need.

Information you give us

When you complete the quote form or email us, we receive your name, email address, and anything else you choose to include: your phone number, business name, website address, budget range, deadline, and a description of your project. If you become a client, we also hold billing details and any content, images, logins, or documents you send us for the work.

Information collected automatically

Our analytics record which pages are viewed, roughly how long for, the type of device and browser, the approximate region the visit came from, and the site or search that led you here. This is aggregated and does not identify you personally.

Information from third parties

If you reach us through a referral or a platform such as a freelance marketplace, we may receive your contact details and a project brief from that platform, governed by the platform's own privacy terms.

Who we share it with

We do not sell your personal information, and we do not share it for anyone else's marketing.

We use a small number of service providers who process data on our behalf, each under a contract requiring them to protect it. Our disclosure page explains our commercial relationships separately:

  • [Web hosting provider] — hosts this site and its server logs
  • [Email provider] — carries our email correspondence
  • [Analytics provider] — measures site usage
  • [Payment or invoicing provider] — processes client payments

Beyond these, we disclose information only where the law requires it, or where it is necessary to establish or defend a legal claim.

Where your data is held

Our providers may store or process data outside the UK and European Economic Area, including in the United States. Where that happens, transfers are covered by an appropriate safeguard: the UK International Data Transfer Agreement, the EU Standard Contractual Clauses, or an adequacy decision covering the destination country.

You can ask us for details of the safeguard applying to a particular provider at contact@hire-web-designer.com.

How long we keep it

Type of informationKept for
Enquiries that do not become projects12 months from last contact
Client project files and correspondence3 years after the project ends
Invoices and financial records6 years, as tax law requires
Analytics data26 months, then deleted
Marketing consent recordsUntil you withdraw consent

You can ask us to delete your information sooner. We will do so unless we are legally required to keep it, in which case we will tell you which records we must retain and for how long.

Your rights

Wherever you live, you can ask us to show you what we hold about you, correct it, or delete it. Email contact@hire-web-designer.com. We will not charge you and will not treat you differently for asking.

If you are in the UK or EU

You have the right to access your data, have inaccurate data corrected, have your data erased, restrict how we use it, receive a copy in a portable format, object to processing carried out under legitimate interests, and withdraw consent at any time.

You may also complain to a supervisory authority. In the UK that is the Information Commissioner's Office at ico.org.uk. In the EU it is the authority in your country of residence. We would rather you came to us first so we can put things right.

If you are in California

You have the right to know what personal information we collect and why, to request its deletion, to correct inaccurate information, and to opt out of its sale or sharing.

We do not sell or share personal information as those terms are defined by the California Consumer Privacy Act, and we have not done so in the preceding twelve months. We do not knowingly collect information from anyone under 16.

You may use an authorised agent to make a request on your behalf. We may ask for proof of their authority and verification of your identity before we act.

Cookies

A cookie is a small file a site stores on your device. We use two kinds.

Essential cookies keep the site working, remembering things like whether you have dismissed a notice. These do not require consent because the site cannot function properly without them.

Analytics cookies tell us which pages are read and where visitors arrive from. [If your analytics tool sets cookies, a consent banner is legally required for UK and EU visitors — confirm which tool you use.]

You can block or delete cookies in your browser settings. Blocking essential cookies may stop parts of the site working. See also our accessibility statement if any of this is difficult to use.

Security

The site is served over an encrypted HTTPS connection. Access to client files and correspondence is limited to the people working on your project, protected by unique passwords and two-factor authentication wherever the service supports it.

No system is completely secure, and we cannot guarantee that data sent over the internet is entirely safe in transit. If a breach occurs that is likely to put your rights at risk, we will notify you and the relevant regulator within the timeframes the law requires.

Children

This site is intended for business owners and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us their information, email us and we will delete it.

Changes to this policy

If we change how we handle personal data, we will update this page and change the date at the top. Where a change materially affects your rights, we will tell you directly if we hold your contact details.

Questions about any of this: contact@hire-web-designer.com.
